Project participants on dataroom can be categorized into 3 different roles as below:
- Administrator
- User
- Bidder
To help you understand, here is a brief overview of each different account roles:
1 - Administrator
Administrators have full access to all the different tools available on the platform to manage the project. They full control everything related to:
- Dataroom Content (files & folders)
- Users ( Permissions and access)
- Reporting & Auditing tools
There are no restrictions that apply to this role. Administrators have full access to all the content with no protection + the Administrator panel.

2 - User Role
Participants with User roles have a more reduced availability of project management tools on the platform. In most cases, participants from the same team of administrators are set up with User roles to carry out some of the actions to help an administrator. If given access (by an Administrator), a participant with User role can:
- View files & folders they are given access to
- Add Documents
- Add Folders/Bulk Upload
- Edit folder/file names uploaded by themselves
- Delete folder/file uploaded by themselves
- See other participants in the project
- Reply questions in the Q&A
- Change the permissions at folder level (they can only make changes for the participants who already have access to the project but cannot add any new participants)
*Administrators can also control the files accessible to users and apply a restrictive permission (to control download, print & apply a watermark)
A participant with User Role cannot:
- Access the Administrator panel
- Move, copy, or sort the data (uploaded by other participants)
- Delete files uploaded by another participant (they can only delete/manage what they upload)
- Edit file/folder name uploaded/created by another participant
3 - Bidder Role
Participants with Bidder roles have the most restricted access to the dataroom. These are normally the third party participants who are invited to the dataroom to review and work on the documents made available to them.
A participant with Bidder Role can:
- View the protected documents they have been given access to
- Download files (in some cases if the project has an option to do / access is given)
- Ask Questions about a specific file/folder (If Q&A module is enabled for the project/participant)
- Manage their alert frequency ( to set it up to daily/weekly)
- Upload documents (if upload access is given by administrators)
